Digital peace of mind as a strategic choice at BD Group. How Inetum’s Workplace as a Service delivers relief and flexibility

If you find advertising leaflets in your mailbox, chances are they were delivered by BD Media. For more than sixty years, the company has been a trusted name in unaddressed door-to-door distribution. Over time, it has grown into a modern logistics organization with a strong focus on digitalization and efficiency. For the past four years, BD Media, together with BD Logistics, has been part of BD Group. To optimally support its operations, BD Group chose a future-proof approach to the digital workplace with Workplace as a Service (WpaaS) from Inetum.

BD Group reaches consumers and businesses across Belgium every week. Each week, a folder package containing promotions and information from major retailers and brands as well as local players is delivered to 4.1 million households. Since early 2025, the group has also been responsible for the distribution of addressed newspapers across a large part of Flanders. Through BD Logistics, it offers a comprehensive range of logistics services, from pallet distribution and express and reverse logistics to warehousing.

Focus on core processes

Behind this logistical feat is a team of around 500 employees, about 200 of whom use laptops, spread across the headquarters in Bornem and several depots throughout the country. For a long time, BD Group managed its employees’ laptops and desktops internally. However, the IT team prefers to focus on innovation and supporting core business processes. Everything related to managing laptops and desktops – ordering and configuring devices, creating new accounts, setting up security, and more – is therefore entrusted to Inetum through a Workplace as a Service model.

Inetum manages all laptops and desktops at BD Group: around 200 laptops (HP ProBook), about ten workstations (HP ZBook), and roughly twenty-five HP desktops in the depots. Devices are centrally managed via Microsoft Intune, ensuring uniform configuration, enhanced security, and standardized lifecycle management. “For us, this mainly provides peace of mind,” says IT Manager Stijn Neirynck. “We no longer need to purchase, store, or manually install devices ourselves. Everything is standardized and handled professionally.”

 

Fast onboarding

One of the key benefits of WpaaS is streamlined onboarding and offboarding. When a new employee joins, Inetum prepares the device in advance, including configuration, role-based applications, security settings, and access rights. Each device arrives fully ready for use at the employee’s workstation.

“We don’t just take a device from stock or receive one by mail,” explains Stijn Neirynck. “An Inetum employee delivers the device on site and starts it up together with the new colleague. In today’s war for talent, that really makes a difference. We save a great deal of time and avoid errors, allowing new hires to get started immediately.”

 

Smooth offboarding

When an employee leaves, the reverse process applies. Inetum retrieves the device, performs a thorough data wipe, and prepares it for reuse. This also follows a strictly defined and secure process, resulting in less administrative burden and better control over the device lifecycle for BD Group.


“We opted for Inetum’s Flex model,” says Stijn Neirynck. “Inetum maintains a ten percent buffer for us, meaning twenty devices are always immediately available, allowing us to act quickly.” At the same time, BD Group only pays for devices that are actually in use. “We lease laptops and desktops over four years, with automatic renewal afterward.”

 

Security by design

Integrated security and centralized management are additional benefits of WpaaS. Inetum centrally monitors all devices, ensuring they are automatically equipped with the correct security policies and receive regular updates.

This approach aligns with the broader zero-trust vision BD Group pursues today: every device must remain compliant at all times. Security incidents or breaches are detected and remediated immediately. Centralized control and automation make the digital workplace not only more efficient, but also more secure.

For an organization like BD Group, this centralized approach is essential. With a large workforce spread across many locations, internal device management can be complex. “That’s no longer something we need to worry about,” says Stijn Neirynck. “Inetum takes care of it all.”

 

WPS: flexible and commitment-free

BD Group complements Inetum’s WpaaS offering with Workplace Platform Solutions (WPS). While traditional WpaaS often tightly couples hardware and services, WPS offers additional flexibility. Services such as device management, security, license management, and service desk are decoupled from hardware. Advanced automation ensures that workstations automatically correct themselves if they deviate from security standards.

WPS enables BD Group to use managed workplace services without being tied to a specific purchase or lease model. BD Group benefits from a flexible and agile IT service desk, supported by a dedicated team and a fixed Service Delivery Manager. “The contact is direct and pragmatic,” says Stijn Neirynck. “Inetum knows our environment and operations inside out, which leads to faster solutions and more efficient collaboration.”

 

Focus on core activities

The choice for WpaaS and WPS fits into a broader strategy. BD Group wants to focus on its core activities: further developing media distribution and logistics services, while supporting customer relationships. “Managing laptops and desktops is not a core activity for us,” says Stijn Neirynck. “By outsourcing the entire workplace, we avoid investing in additional IT profiles, which are hard to find in today’s tight labor market. At the same time, Inetum ensures we always have a modern, secure, and up-to-date digital workplace.”

For BD Group, the combination of WpaaS and WPS ultimately means peace of mind. “We know our digital workplace is in good hands, allowing us to focus on what really matters to our organization.”
