With SAP, Sandetel upgrades its expense management system
Sandetel has digitized and automated the management of its employees’ travel with the help of Inetum, marking the first step towards a comprehensive digital human resources management system.
Gone are the days of paper forms and the tedious back-and-forth involved in submitting travel expense claims. Sandetel, the Andalusian telecommunications development company, took a major step towards digital transformation in 2023 by implementing SAP Concur with the help of Inetum. This change has transformed the day-to-day lives of 215 employees.
“Our process for preparing and managing travel expenses before implementing SAP Concur was very manual and tedious. There was a lot of dissatisfaction among employees regarding this specific process, as it wasn’t working properly,” explains Alfonso Moreno Pérez, project director at Sandetel.
This issue was part of a broader context of modernizing information systems. “In 2023, we planned a comprehensive corporate human resources management system project, into which we integrated the travel expense management system,” he explains. The company, affiliated with the Andalusian Digital Agency and specializing in technological innovation, improved the user experience and automating processes among its top priorities.
A strategic partnership with Inetum
To carry out this transformation, Sandetel drew on Inetum’s expertise. “Our relationship with Inetum during the solution’s implementation process was very satisfactory, with a specialized technical team that was clear about the implementation processes,” says Alfonso Moreno Pérez.
The choice of SAP Concur was no accident. “Among our priority criteria were the management of unique employee data and the establishment of systems that were user-friendly and accessible to employees,” explains the manager.
This user-centered approach has paid off, although adoption was not immediate. “The main challenge we faced was initial resistance to change, as Sandetel was used to a very manual, very slow and paper-heavy process,” notes Juan Alberto Lanas Lara, senior SAP Concur consultant at Inetum.
Concrete and quantifiable benefits
The results of this transformation were not long in coming. Automation has significantly reduced the time taken to approve and pay reimbursements, freeing up time for the teams. “Employees are much more autonomous and independent, and can manage their expense claims and travel requests much more quickly,” highlights Juan Alberto Lanas Lara.
Beyond operational efficiency, the entire organization benefits. “Integrating a human resources system such as Success Factors into Concur brings added value to Sandetel and improves the organization’s control,” explains the Inetum consultant.
This success is also down to the maturity of the chosen solution. “We consider it to be a very mature product in its field, which has also facilitated a very rapid implementation that is adaptable to our organization,” confirms Alfonso Moreno Pérez.
For Cristina Rubio Vizcaya, Sandetel’s Director of Information Systems, this transformation is part of the company’s very mission: “We are the executive arm of the Andalusian Digital Agency for the implementation of its policies on transformation, technological innovation, society and the digital economy.” A philosophy that is now reflected in its own internal processes, demonstrating that innovation begins by leading by example.
